A source is one calendar link. A team or program can have several sources, such as one for games and one for practices.
Sources are set up on the team's Event Imports page. A role with Event Imports at Edit opens that page.
- Copy the calendar subscription link from TeamSnap, Crossbar, SportsEngine, Google, Apple or Outlook.
- Open the team page.
- Click the Event Imports tab at the top.
- Click Add Source in the Sources panel.
- Select the service in Provider.
- Paste the link in Link.
- Select a type in Fallback Type.
- Click Add Source.
The first sync runs within a few minutes. Click Sync Now to start another sync.
Changes at the source reach the team's schedule every 30 minutes.
- Provider
- The service the link comes from. The hint under the form says where that service shows its link.
- Fallback Type
- The event type for a title that names no type.
- One link per team
- A team holds each link once. The same link can feed two different teams.
Source Options
Each source has its own options. Click Options on the source's card to open them. Each change saves as you make it.
| Option | What It Does | Default |
|---|---|---|
| Name | The source's name. The team page shows the name after Synced from. | The provider's name |
| Provider | The service the link comes from. | The provider chosen on Add Source |
| Sync On | Turns syncing on or off for the source. | On |
| Reach Back | How far into the past a sync adds and changes events. | 1 Week Back |
| Reach Ahead | How far into the future a sync reaches. | 1 Year Ahead |
| Only Titles With | Brings in only events whose titles hold one of these words. | Every title |
| Skip Titles With | Leaves out events whose titles hold one of these words. | None |
| Canceled Events | Keep as Canceled adds a canceled event marked Canceled. Leave Out skips it. | Keep as Canceled |
| Event Type | Read From Title sets each type from the title. A type sets every event to that type. | Read From Title |
| Fallback Type | The type of an event whose title names no type. Shows only with Read From Title. | The type chosen on Add Source |
| Visibility | The public page setting for each new event. | Same as the Team |
| Copy Descriptions | Copies each event's description from the source. | Off |
| Keep Updated | The fields each sync keeps matching the source. Title, Time, Location and Status. Time also updates Ice Slot when Ice Slot still matches the old times. | All four |
| When an Event Leaves | Flag for Review lists the event under Removed at Source. Keep It keeps the event on the schedule without a review. Remove It removes the event at once. | Flag for Review |
| Hold Mass Removals | Holds back removals when this share of upcoming events vanishes at once. | Over 50 Percent |
| Minimum Events | Blocks a sync when the calendar has fewer events than this number. | 1 |
A changed option applies at the next sync. The change starts that sync within a minute.
An event that stops matching Only Titles With or Skip Titles With counts as gone from the source.
What a Sync Changes
Each sync compares the calendar with the team's events from that source.
| At the Source | On the Schedule |
|---|---|
| A new event | Coach Binder adds the event. A title with vs or @ becomes a game. |
| A changed time, title or place | The event changes to match. |
| A place with a street address | The event shows the rink name. Coach Binder adds the address to Locations when that rink has no address. |
| A canceled event | The event shows Canceled. |
| An event canceled and then restored | The event shows Planned again. |
| An event that is gone | The event shows Removed at Source for a coach to review. With Keep It, the event stays without a review. With Remove It, the event is removed. |
A sync never changes an event that ended before Reach Back. The default is 1 week.
Reach Back stops at the oldest event in the provider's link. Crossbar keeps only 30 days of past events. Add older events by hand.
Your Changes Stay
A field you change on a synced event stops syncing.
A mark after each field's name on the event page and its Settings tab shows what the next sync does.
| Mark | What It Means | At the Next Sync |
|---|---|---|
| Cloud | The source keeps this field updated. | The field changes to match. |
| Lock | You changed this field in Coach Binder. | The field stays as you set it. |
| No mark | A field of Coach Binder's own, or one the source's Keep Updated leaves out. | The field stays as it is. |
On the event's Settings tab, a field you change shows the lock before you click Save. Save keeps your change.
A sync note at the foot of Event Details sums up the sync for the event.
- Top row
- The source, its health and the last sync. Hover over the health for the issue. Click Open Source to open the source.
- Field rows
- One row for each synced field, with what the next sync does to it.
- Updates from the source
- The next sync keeps the field matching the source.
- Kept as you changed it
- You changed the field. The next sync skips it.
- Stays as imported
- The source's Keep Updated leaves the field out.
- Changed
- The date the last sync changed that field.
- Unlock
- Hands the field back to the source. The next sync writes the source's value.
- Synced fields
- Title, start, end, all day, location, status and a copied description.
Click the source's name at the top of the event page to open that source on the team's Event Imports page.
Removed at Source
An event that leaves its source stays on the schedule with a Removed at Source marker.
With Keep It under When an Event Leaves, the event stays on the schedule and skips this panel.
The Removed at Source panel on the Event Imports page lists these events. The team page and Home link to that panel.
- Keep
- Keeps the event here. The event syncs again if the source lists it again.
- Remove
- Removes the event with its source. Coach Binder keeps its notes, plan and attendance.
To restore a removed event, select Shown in the Deleted filter on the Events page. Click Restore on that event.
Sync Statuses
Each source shows whether its sync is healthy.
The marker shows on the source's card, under the team's Schedule and on each synced event.
A red marker names why the last sync could not read the calendar. A sentence beside it gives the fix.
A source in trouble also shows its last good sync and how many syncs in a row did not finish.
| Marker | Meaning |
|---|---|
| Healthy | The last sync read the calendar within the last 2 hours. |
| Link Not Found | The provider does not know this link. Copy a new link and click Replace Link. |
| Link Refused | The provider refused this link. Copy a new link and click Replace Link. |
| Not a Calendar | The link opens a web page. Copy the calendar link and click Replace Link. |
| Link Not Readable | We cannot open this link. Copy the calendar link and click Replace Link. |
| No Answer | The provider did not answer. The next sync runs in 30 minutes. |
| Not Secure | We cannot confirm the link is secure. The next sync runs in 30 minutes. |
| Calendar Too Large | The calendar is over 10 MB or 5,000 events. Ask the provider for a smaller calendar. |
| Sync Failed | The last sync did not finish. The next sync runs in 30 minutes. |
| Not Syncing | No sync has run for over 2 hours. Click Sync Now to try again. |
| Sync Blocked | The last sync held back its changes. A sentence beside it says why. |
| Off | The source does not sync. |
| Not Synced Yet | The first sync has not run yet. |
A cloud after an event's title in a list marks an event a source keeps synced.
A Blocked Sync
A sync holds back when the calendar looks broken.
| What Happened | What the Sync Does |
|---|---|
| The calendar has no events | Nothing on the schedule changes. |
| Most upcoming events vanished at once | Changes apply. No event is marked Removed at Source. |
The next sync checks again. Check the calendar at the source if the marker stays.
The Link and Privacy
A calendar link often carries a private key from the service.
- Who sees a source
- Coaches on the team see its name under the Schedule.
- Who sees the link

- Changing a source
- A role with Event Imports at Edit on the team.
To change the link, click Options on the source, paste the new link in New Link and click Replace Link.
Retire a Source
Retiring a source stops its syncs.
- Open the team's Event Imports page.
- Click Retire on the source's card.
- Click Retire Source.
The source's events stay on the schedule with their notes and plans. To sync again, add the link again.
