Scheduling Defaults

Sets the defaults every team and program starts with. A program is a clinic, camp or training group that is not a team. To change a default for one team or program, open that team's settings.

Time Zone
The default time zone for every team and program. Note times, activity times and today's date show in this zone.
Primary Location
Fills in the location on events added from the season planner. A team's own Primary Location takes priority.

Drill Photos

SettingChoicesStarts At
Rink Photos Straighten or Keep Whole Straighten
Rink Sheets One Picture Each or First Rink Only One Picture Each

Blank Rinks
Keep adds each rink on the sheet, drawn on or not.
Drawings on Paper
Cleaned Up makes the paper white and the ink dark. Original shows the photo as taken.

The settings decide how a new photo starts. A coach can still switch each photo between Straightened and Whole Photo. Cleaned Up and Original switch the same way.

Reprocess Photos on a drill uses the same settings.

Click Save at the top of the page to keep the Drill Photos settings.

Filling In Custom Fields

Coaches fill in custom fields on the Edit Player and Edit Team pages, in the More Details panel.

  1. Open the player or team page.
  2. Click Edit at the top of the page.
  3. Fill in the fields in More Details.
  4. Click Save.

Each change to a player field appears in the player page's Activity. Each change to a team field appears in the team page's Activity. A line names who made the change, with the old and new value.

A role that edits players or teams fills in their fields. A role that only views them reads the fields.

Locations

Lists the rinks, rooms and other places where your teams practice and play. Saving an event at a new place adds that location here.

Edit
Changes a row's name and address.
Name
The location's name. Renaming the location changes the name on every event and team there. A rename also changes the organization's Primary Location when it is this location.

A Location's Page

Shows where one location is and every event there. Click a name on the Locations page to open it. The Location on an event page opens it too.

Shows a Google map of the saved address. A location with no address shows a search for its name.

Past
Lists the events already over, latest first.

The list counts events on the teams you can see. An event under one of the location's Other Names counts too.

The map receives the location's name or address only. Coach Binder sends Google nothing about your teams or players.

Merging Locations

Merge joins two locations that are the same place under one name.

  1. Click Merge on the location to remove.
  2. Choose the location to keep under Merge Into.
  3. Click Merge.

Players

Not Signed, Expired, Signed
Where each player stands today. Unsigned players come first.

Title
The waiver's name.
Waiver Text
The waiver text, written in Markdown. The placeholders fill in when a family signs.

Signatures Lapse On
A date every signature expires, such as the end of a season.
Or Days Valid After Signing
The number of days each signature lasts. When both fields are set, the earlier date applies. Leave both blank for signatures that never expire.

Every signature keeps its own copy of the waiver.

Signed text
Each signature keeps the text and expiry it was signed under. Editing the waiver later leaves existing signatures unchanged.
Expired signatures
Stay in the history. The player signs again at their next signup.
Paper signatures
Record a paper signature on the player page.

Coach workspace

Accepting an invitation
A coach invitation needs a free seat when it is sent and again when it is accepted. A full club refuses the invitation and keeps the link working.

Manage Subscription
Opens the payment provider to update the card, change seats or cancel your plan.

A comped workspace has every seat and feature at no charge, with no end date.

The Terms of Service set the rules for trials, billing and locked workspaces.

Referral Codes

Gives a coach extra free trial days when a family sends the coach to Coach Binder.

Getting a code
A parent or player enters an email on the Coach Binder homepage. Coach Binder emails that address a code.
Using a code
Enter the code in Referral Code on the Create an Account page. The link in the family's email fills in the code.
What the code gives
Extra free trial days on your first workspace. When Coach Binder offers a discount, the code also takes a percent off the plan price.
A second workspace
Gets no referral. A code applies to the first workspace only.
Coach Binder keeps the family's email beside the code to trace the referral. Coach Binder uses the address for nothing else.

Free Trial and Locking

Explains the free trial, the reminders before it ends and what happens without a card.

Free trial
Every new workspace starts with a free trial. No card is needed to start. The Billing page shows the end date.
One trial a person
Every workspace you create shares one free trial. A later workspace ends its trial on the date of your first one. A workspace you joined does not count.
Reminders
People who manage billing get an email 7 days and 2 days before the end. Another email comes on the end date. A last email comes when the workspace locks.
Band
In the last week of the trial, a band at the top of each page shows the end date.
Lock date
A workspace with no card locks a few days after the trial ends. The Billing page and the band show the date.
Locked
Only Billing, the docs and account settings open. Family pages, shared plans, calendar links and public pages pause too.
Workspace Paused
Members who cannot manage billing open the Workspace Paused page instead, families included. The page says nothing is deleted and who restarts the workspace.
Phone notes
The note API refuses every note while the workspace is locked. The reply carries the paused code.
Restart
Click Add a Card on the Billing page. The workspace opens again at once.
A locked workspace deletes nothing. Every team, player, plan and note is there after the restart.

Payments from Families

Connects your organization's own Stripe account. Families then pay registrations and signups by card.

Connect Stripe
Starts connecting your organization's Stripe account.
Finish Setting Up Stripe
Replaces Connect Stripe until you finish the setup.
Payouts
The money goes to your Stripe account. The Billing page shows any platform fee Coach Binder keeps from each charge.
Coach Binder never sees card details.
