A message is one email to every person a roster reaches.
- Open the team or program page.
- Click the Messages tab at the top.
- Click New Message.
- Under To, pick Whole Roster or One Event. For One Event, select the Event.
- Enter a Subject and the Message.
- Check the Recipients panel. Each listed person gets the email. No Email on File names any player whose family the email misses.
- Click Send at the top of the page.
- Click Send It in the band. Coach Binder cannot take back an email once it is sent.
The event page's Message Families in the More menu opens the same page with that event picked.
A plan shared with Families or Public has Message Families in its Share panel. The message starts with the plan's link filled in.
- No Email on File
- Players with no parent account, no player account and no roster contact with an email. Click a name to add a contact on the player page. The Send band counts them too.
Who Receives a Message
A message reaches three kinds of people for each player.
| Person | Gets the Email | Sees It on the Family Page |
|---|---|---|
| A parent linked to the player | Yes | Yes |
| A player of 13 or older with their own account | Yes | Yes |
| A contact with an email on the player's Contacts panel | Yes | No |
- An event message reaches everyone at the event, including players from other rosters added to the event.
- One email address gets one email, even when the address belongs to two players.
- Each person gets a separate email. No person sees another address.
To reach a family with no account, add a contact on the player's page.
Schedule Notices
A schedule notice tells families about a cancellation, a new time, a new place or a practice that became a game.
- Send Cancellation Notice
- Appears on an upcoming event set to Canceled. Opens a new message with the cancellation filled in.
- Send Schedule Notice
- Appears on an upcoming event with a new start time or location, or one changed to or from a game. Also appears when a canceled event is back on.
- Schedule Notice
- The box on a message about one event. A notice reaches people who stopped message emails.
With the team's settings at Ask Me, nothing sends automatically. The event page offers the notice until one is sent.
- Older changes
- A change more than 14 days old that never had a notice no longer asks for one. Families have planned around it by then.
- Changing the type
- Only a change to or from a game asks for a notice. A practice made a training session does not. The New Time or Place setting covers that change.
Message Settings
Each team or program keeps its own message settings.
- Open the team or program page.
- Click the Messages tab at the top.
- Click Message Settings.
- Change the settings. Click Save at the top of the page.
| Panel | What It Sets | Starts At |
|---|---|---|
| Recipients | Parents, players 13 and older, roster contacts, a copy to staff and Replies Go To | Every family, no staff copy |
| Schedule Changes | Canceled Event, New Time or Place, Event Back On and Imported Events | Ask Me |
| New Events | New Event Added | Off |
| Reminders | Reminder and Reminder For | None |
| Weekly Schedule | Email the Week Ahead | Off |
A role at Messages View reads the settings. A role at Messages Edit changes them.
Automatic Messages
A setting at Send Automatically sends a message with no coach clicking Send.
| Message | When It Sends | Who Receives It |
|---|---|---|
| Schedule notice | 10 minutes after the last change to an upcoming event | Everyone at the event |
| New events | 10 minutes after the last event is added | The roster |
| Reminder | 2 hours or 1 day before the event | Everyone at the event |
| Weekly schedule | Sunday at 6 pm in the team's time zone | The roster |
- The 10 minute wait gathers quick edits into one email.
- A change in an event's first 15 minutes counts as making the event. The event page offers that notice instead.
- Events added before New Event Added was switched on are never announced.
- Each event gets one reminder at most.
- A reminder, new events and the weekly schedule skip people who stopped message emails.
- An event marked Private never sends automatically. A Private event gets no reminder, no notice and no line in new events or the weekly schedule.
- Times read in the event's own time zone, as on the event page.
- A reminder names the rink. A game's reminder adds home or away and the locker room.
- A reminder, a new event and a schedule notice end with the saved address and a Google Maps directions link. The weekly schedule lists each address.
The event page shows when an automatic notice sends. Click Write It Myself to send your own words first.
The Messages tab marks each automatic message with Automatic.
What Families Receive
Each email comes from Coach Binder's address under the team's name.
- From
- The team or program name.
- Reply
- A reply goes to the staff member chosen in Replies Go To. The default, The Coach Who Sends It, is the message's author. An automatic message with no author sends replies to the head coach.
- Family page
- A family with an account sees the message on the Family page as well.
- Stop link
- Every email ends with a link that stops message emails.
Stopping Message Emails
A family stops message emails with the link at the end of any message email.
- Stopping covers every team in your organization.
- A schedule notice still reaches the family.
- Every message still appears on the Family page.
- The same link offers Start Emails Again.
- Marking a message email as spam also stops message emails.
The Recipients panel marks a stopped person with Stopped Emails.
Sent Messages
The Messages tab lists every message sent to the roster, newest first. Click a subject to open the message.
| Delivery | Meaning |
|---|---|
| Sent | The email left Coach Binder. |
| Sending | The email is waiting to go out. |
| Not Delivered | The email service refused the email three times. |
| Bounced | The email could not reach that address. Check the address for that person. |
| Marked as Spam | The person marked the email as spam. Message emails to that address stop. |
| Stopped Emails | The person stopped message emails. No email went out. |
A sent message cannot be changed or deleted.
Who Can Send
The Messages part of a role decides who reads and sends messages.
| Level | What It Allows |
|---|---|
| None | No Messages tab. |
| View | Reads the team's sent messages and their recipients. |
| Edit | Also sends messages and schedule notices. |
Owner, Admin, Head Coach and Team Manager start at Edit. Assistant Coach starts at View. Specialist Coach starts at None.
